At CavUnity, the safety and wellbeing of our members, volunteers, partners, and participants is our top priority. Severe weather, emergencies, or facility issues may require operational changes. This page outlines how we make decisions, how we communicate updates, and what you can expect during cancellations, delays, and closures.

Color Code System:
Understanding CavUnity's operational colors helps members and participants know what to expect during changing conditions.
Green (OPEN): CavUnity is operating normally. Events, fundraisers, programs, meetings, and all other activities will continue as scheduled. Members and participants may still choose to stay home if they feel conditions are unsafe. No penalties will occur for safety based absences.
Orange (DELAYED/MODIFIED): CavUnity operations are impacted in some ways. This may include delayed start times, district specific cancellations, or modified programming. Members should await information from the Executive Leadership Team (ELT) or their District Chairs for district specific details.
Red (CLOSED): All in-person CavUnity operations including events, fundraisers, programs, meetings, and all other activities are cancelled for the affect districts. Some meetings may transition to virtual formats, but only if explicitly communicated by the ELT or District Chairs.
How CavUnity Makes Closure & Delay Decisions (Overview):
District Chair Consultations: The CavUnity ELT will consult with District Chairs who assess conditions and the status of school closures within their regions.
Local Authority Guidance: We follow Environment Canada alerts, provincial and municipal emergency recommendations, and other official advisories.
Alignment With School System Decisions: If schools in a CavUnity district(s) close, dismiss early, or cancel after school hour activities, CavUnity operations in that district will typically follow.
Weather & Safety Monitoring: We monitor storm systems, road conditions, expected severity, and any risks affecting member safety.
Decision Timeline:
CavUnity normally makes decisions at one of the following times:
6:00 AM - 6:30 AM - Morning or full day impacts (delayed start or full day closure etc.)
11:00 AM - 12:00 PM - Afternoon and partial day impacts (early dismissal etc.)
4:00 PM - Evening or next day operational impacts (evening closure or following day impacts etc.)
Exceptions may occur during rapidly changing or emergency situations.
How We Communicate Cancellations:
CavUnity uses multiple channels to ensure every member and participant receives timely information:
Email notifications
Website (popup alerts and cancellations page)
Google Classroom
Text Message Alerts (for those registered)
Google Calendar (for meeting changes)
Virtual Meeting Adjustments:
If in-person operations are cancelled:
All meetings are automatically cancelled
Unless CavUnity states they are transitioning to Google Meet or another virtual platform
Virtual decisions are made collaboratively by the ELT and District Chairs
Updated Google Meet links are sent via email and Google Calendar (modified meeting invitation)
Frequently Asked Questions (FAQ):
If CavUnity is open but I feel unsafe traveling, what should I do?
Answer: Your safety comes first. Even during Green (OPEN) status, members, volunteers, and participants may choose to stay home if they feel conditions are unsafe. No penalties or consequences will occur.
If CavUnity is in Orange (DELAYED/MODIFIED) status, do I still attend my event, fundraiser, program, or meeting?
Answer: Not necessarily. Specific instructions will be communicated by the ELT or your District Chair. Operations can vary by district, so always wait for official direction.
What happens if CavUnity is in Red (CLOSED) status?
Answer: All in-person CavUnity events, fundraisers, programs, meetings, and other activities will be cancelled. In some cases, meetings may transition to virtual formats but only if explicitly communicated.
How will I know if a cancelled meeting is moving to Google Meet?
Answer: You will receive an email notification and an update Google Calendar invite with the new Google Meet link.
If one district closes, doe the entire organization close?
Answer: No. While many decisions are organization wide, CavUnity may close or modify operations in specific districts based on local conditions. Districts operate semi-independently during weather related events.
How will I receive updates?
Answer: Notifications are sent through email, Instagram, Facebook, website popups, cancellations page (on website), text message (if registered), and Google Classroom.
Will cancelled events, fundraisers, programs, and meetings be rescheduled?
Answer: Yes. CavUnity will reschedule all cancelled events, fundraisers, programs, and meetings whenever possible. Updated dates will be communicated through our standard channels.
What should I consider when deciding whether to attend during poor conditions?
Answer: Always follow local road safety information, weather advisories, and parent/guardian discretion. CavUnity supports members making the safest choice for their situation.
